Adapting requests to the audience in Brazilian Portuguese

The channel changes, but the request and the people do not. Practise adapting a message between colleagues who already address each other as você, without adding distance, intimacy or urgency. Allow about eleven minutes to read, or nineteen with audio and rewriting.

The request’s building blocks

The cards give relatório = report, documento = document, reunião = meeting, até = by a deadline, enviar = send, agradecer = thank. In the messages, você = you (one person), pode = can, poderia = could, me = to me, preciso = I need, dele = of it, para = for, de = of, amanhã = tomorrow, sexta / sexta-feira = Friday, segunda / segunda-feira = Monday. O and a identify a known item and agree with its noun: o relatório, o documento, a reunião; Ana is the recipient’s name.

Recover purpose and reference

In this task, the request specifies the action, object, deadline and reason: enviar o relatório até sexta = send the report by Friday; para a reunião de segunda = for Monday’s meeting. Preciso dele means “I need it”: precisar de requires de before this noun or pronoun, and dele combines de + ele, referring here to the masculine relatório or documento. Choose a form of address from the situation and the person’s preference; você can occur in professional messages as well as chats. These examples keep the established colleague relationship rather than changing it to a hierarchy.

Two channels, the same request

Read and listen to the complete messages as two versions of one request, not two turns. A male colleague writes to Ana: first in their friendly work chat, then in a more carefully worded professional message to the same person. Oi, Ana! = Hi, Ana!; Olá, Ana. = Hello, Ana.; Obrigado. = Thanks.; Agradeço sua ajuda. = Thank you for your help, with sua ajuda = your help. A woman can use Obrigada when thanking someone in her own message. Both versions ask Ana to send the same report by Friday for Monday’s meeting, and both thank her.

Change the wording, preserve the relationship

Pode me enviar? makes a request through a question about possibility; poderia me enviar? softens it through the conditional, much like “could you send me?”. Here a neutral opening, full weekday names and a fuller closing create a more considered message together; none is a universal test of professionalism. The short day names also occur in professional writing, and a courteous chat can use poderia. Unlike the English pronoun you, forms of address can signal social choices explicitly, but a professional message does not automatically require o senhor or a senhora. Keep the actual deadline: replacing até sexta with quando puder (“when you can”) would remove it, and adding urgente (“urgent”) would change the demand. Make dele explicit as do relatório if another masculine object makes its reference unclear.

Rewrite in both directions

New task: a colleague needs Ana to send the document by tomorrow for Friday’s meeting; they still use você. Before reading the models below, write a professional version with an opening, request, reason and thanks, using the words already introduced. Then rewrite your version for their friendly work chat; the two examples show one possible pair. Compare recipient, action, document, deadline and meeting day, and check that the relationship stays the same; neither version may add a demand or promise. Now change one familiar detail, such as documento to relatório, and do the round trip again without copying the models. The goal is a connected message suited to its recipient, not a list of formal synonyms.

Recognize three restricted uses

These staged examples are for recognition, not production goals: in a deliberately ceremonial welcome to a group, Vós sois bem-vindos means “You are welcome here”, with vós = you (plural), sois = are and bem-vindos = welcome. Vós is found especially in historical, literary or religious language and in some situated uses; it is not a default address for Brazilian colleagues. In a deliberately solemn letter, Enviar-lhe-ei o relatório means “I will send you the report”: the pronoun lhe (“to you” in this context) sits inside the future enviarei, a placement called mesoclisis. Nestes termos, pede deferimento is a conventional administrative-application closing requesting approval: nestes termos = on these terms, pede = requests, deferimento = approval of an application. It is not an ordinary work-email closing. These forms are not a condition for B2 or a superior kind of Portuguese; choose them only when understanding their particular setting calls for it.

Check what changed and what stayed

Keep the person, action, object, deadline and reason stable; adjust the opening, softening and closing to the channel and relationship. Say both versions aloud and ask whether Ana would understand the same practical request and feel addressed in the intended way. A successful rewrite communicates clearly in a new situation while respecting the existing relationship.
